At JurisOptima, we are committed to protecting your privacy and maintaining the confidentiality of your information. This Privacy Policy explains how we collect, use, protect, and handle your personal information when you use our legal services. As advocates, we are bound by professional ethics and the Advocates Act, 1961, which mandates strict confidentiality.
1Information We Collect
Personal Information
When you contact us or use our services, we collect personal information including your name, email address, phone number, and address. This information is essential for us to provide legal services and communicate with you about your matters.
Case-Related Information
In the course of providing legal services, we collect information related to your legal matters including documents, statements, and other materials relevant to your case. This information is treated with the highest level of confidentiality.
Portal Account and Request Data
When you use our client portal at app.jurisoptima.com we collect your email address (and, if you sign in with Google, your name and Google account identifier), your phone number, and the details of your matter: the type of matter, the service and category you pick, and your description.
Uploaded Documents and Payment Details
You may upload up to 15 documents per request (PDF, images and Word files) so we can assess your matter. We also keep the payment details you enter: the UPI transaction reference (UTR) and, if you attach one, a payment screenshot.
Website and Security Data
We automatically collect certain information when you visit our website, including your IP address, browser type, pages visited, and time spent. In the portal we record your IP address with each sign-in code request (to limit how many codes can be requested), record your browser type with each sign-in session, and use a cookie to keep you signed in, which lapses after 30 days without use. The portal also stores an analytics identifier in your browser's local storage (see Portal Analytics and Fault Finding).
2How We Use Your Information
Service Delivery
We use your information primarily to provide legal services, including case preparation, court appearances, document drafting, and legal consultation. Your information enables us to represent your interests effectively.
Running the Portal
We use portal data to call you back about your request, assess your matter and prepare an estimate, verify the payment you report, keep the money statement for your request, and email you sign-in codes and updates about your request.
Communication
We use your contact information to communicate about your case updates, appointments, court dates, and other service-related matters. We do not send marketing email.
Legal Obligations
We may use or disclose your information when required by law, court orders, or legal proceedings. This includes compliance with regulatory requirements and responding to valid legal requests.
3Where Your Data Is Stored and Who Can Access It
Hosting and Database
The portal runs on Cloudflare Workers and its database is Cloudflare D1. Request records, status notes and money statements are stored there, encrypted in transit and at rest.
Documents
Uploaded documents and payment screenshots are stored in a private Backblaze B2 bucket in Backblaze's United States region. Nothing in it is publicly reachable: files are read only through our application after it has checked that you are signed in and own the request, and they are delivered as downloads, never from a public link.
Sign-in codes and request updates are sent through Google (Gmail).
Who Can See Your Data
Only the JurisOptima team members who handle requests can view your requests, documents and payments. Every status change and money entry records who made it. We do not sell your data and do not use it for advertising. Our service providers (Cloudflare, Backblaze, Google and PostHog) process data only to provide their services to us, and may store or process it outside India.
4Consent
Before You Upload or Submit
Before uploading documents or submitting a request you tick a box agreeing to this policy and consenting to JurisOptima processing your information and documents to assess your matter. You can withdraw consent at any time by asking us to delete your data (see Your Rights); we then stop processing it except where the law requires us to keep records.
Website Analytics
Our website (jurisoptima.com) uses Google Analytics to measure visits. You can block analytics cookies in your browser without affecting the portal.
Portal Analytics and Fault Finding
The portal (app.jurisoptima.com) uses PostHog (PostHog Inc., United States) for product analytics, error tracking and session recordings, so we can see how the portal is used and fix faults quickly. Your browser sends PostHog the pages you open, the buttons and links you tap, how long pages take to load, errors the portal runs into, your device and browser type, and your approximate location, which PostHog works out from your IP address. Session recordings are replays of your screen. Before a recording leaves your device, everything you type is hidden, and so are your email address, phone number, what you tell us about your matter, document names, UPI transaction references (UTR) and notes. Our servers also send PostHog a record of what happens to your request (when it is created, paid for and verified, its status changes, its reference code, the amounts charged, paid or refunded, and the UTR you enter) together with your account email address and phone number, so we can follow up without delay. PostHog never receives the description of your matter, your documents or their file names, payment screenshots, sign-in codes or session tokens. To link these together, the portal stores an analytics identifier in your browser's local storage. You can stop your browser sending anything to PostHog with a content blocker or by blocking us.i.posthog.com, and the portal keeps working as normal; this does not stop the records our servers send. All your PostHog records are deleted when you ask us to delete your data (see Your Rights).
5Information Protection
Advocate-Client Privilege
All communications and information shared with us are protected by advocate-client privilege under the Advocates Act, 1961. This means your information is legally protected and cannot be disclosed without your consent, except as required by law.
Data Security
We implement appropriate technical and organizational measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. Portal access is limited to signed-in users and to the requests they own; our systems are regularly updated to maintain security standards.
Employee Confidentiality
All our team members are bound by strict confidentiality obligations. They receive training on data protection and are only given access to information necessary for their specific roles.
6Your Rights
Access and Correction
You have the right to access personal information we hold about you and request corrections if any information is inaccurate or incomplete. In the portal you can update your name and phone number yourself; for anything else, contact us.
Deletion
Email [email protected] from the address you sign in with, quoting your reference code if you have one. We confirm the request within 48 hours. Within 30 days we delete the documents you uploaded, close your requests, delete your analytics records in PostHog and stop using your data, except for the records we must keep by law (see Data Retention), which we keep only for that period. You can also delete individual documents yourself from the portal until your payment is verified.
Data Portability
You may request a copy of your personal data in a commonly used format. This includes case-related documents that belong to you; documents you uploaded can be downloaded from the portal at any time while the matter is open.
7Data Retention
Portal Documents
Uploaded documents are deleted automatically once your matter has been closed for 90 days, or sooner if you ask.
Request and Payment Records
Request details, status history, money statements and payment screenshots are kept for 8 years after the matter closes, as required for accounting and tax records, and then deleted.
Sign-in Data
Sign-in codes expire after 10 minutes, and we store only a one-way hash of each code, never the code itself. One-time sign-in codes are deleted within 24 hours. Sessions end after 30 days without use.
Case Files
Case files for matters we handle are retained for at least 7 years after the matter closes, as professional rules and tax law require, and are then securely disposed of through deletion of digital records and shredding of physical documents.
